For project teams and agencies
Resource planning for project teams – right inside Microsoft Teams
Know who is booked on which project next week, who still has capacity, and stop rebuilding the staffing spreadsheet every Monday. Schedules puts your resource plan where your team already works.
No new logins · Unlimited viewers & admins · From $3 per person and month
Sound familiar?
- The staffing plan lives in a spreadsheet that only one person really understands.
- You ask around in chat to find out who is free for a new project.
- People are double-booked because the plan and their calendar disagree.
- Dedicated resource planning tools need new logins, training and an IT review.
How Schedules helps
Workload at a glance
A day, week and month timeline shows every person’s assignments, so free capacity is easy to spot.
Color-coded projects
Each project has its own color. Recurring assignments cover regular work like retainers or weekly meetings.
Check availability before you book
The Outlook overlay shows free/busy time next to the plan, so you don’t book someone who is already in client workshops.
No new tool to roll out
Schedules runs in Microsoft Teams with single sign-on. Add people from your company directory – no user management.
Everyone knows their week
Team members get a Teams notification when assigned and can see their schedule in Outlook via a personal calendar feed.
Reporting-friendly
Export the plan to Excel for utilization reports, or pull assignments through the REST API.
Frequently asked questions
- Is Schedules a full project management tool?
- No. Schedules focuses on planning people: who works on which project and when. Tasks, budgets and time tracking stay in the tools you already use.
- Can team members see the plan without a license?
- Yes. Licenses are only needed for people who are scheduled. Viewers and admins are free and unlimited.
- Can project managers edit their own assignments?
- Schedules has per-schedule roles: Admin, Self-Editor, Viewer and None. Self-editors can manage their own entries while admins plan for everyone.
- How much does Schedules cost?
- Schedules costs $3 per scheduled person and month with annual billing, or $5 with monthly billing. Viewers and admins are free and unlimited. Every company starts with a 30-day free trial; afterwards the app becomes read-only until you subscribe, so there is nothing to cancel.
